For ten or twelve weeks, your building has been running in a mode no one really thinks about. Reduced occupancy, reduced HVAC schedules, water sitting in lines that nobody drew from, lights and systems dialed down to match an empty building. That’s the right way to run a school over the summer. The problem is that “occupied mode” doesn’t switch itself back on the morning the staff returns — and the gap between summer mode and occupied mode is where avoidable first-week problems live.

The readiness walk covered the visible building. This is about the systems behind the walls: the water, the air, the temperatures, and the safety equipment that have to be deliberately brought back to full service before a few hundred people walk in. None of it shows up on a quick look. All of it matters on day one. Here are the five to switch back.

1. Flush the domestic water lines before anyone drinks from them.

Water that sits motionless in pipes for weeks goes stale, loses disinfectant residual, and can grow bacteria — including the organisms behind waterborne illness that public-health agencies specifically warn about after low-occupancy periods. Drinking fountains, bottle fillers, classroom sinks, kitchen lines, and any fixture that went unused all summer have been holding standing water the whole time.

Before the building fills, flush the system. Run cold water through every fixture — fountains, fillers, sinks, the kitchen, locker rooms — long enough to clear the standing water and bring fresh, treated water through the line. Run hot water through the fixtures that have it. Pay attention to the fixtures at the ends of long runs and the ones that rarely get used; those hold the oldest water. If your district has a written water-management plan, follow it; if it doesn’t, your facilities director and water utility can point you to the standard guidance. This is a health item, not a housekeeping one — it’s worth doing deliberately and documenting that you did.

Drains are worth the same attention while you’re already working the plumbing. Floor drains, kitchen lines, and other traps that sat idle all summer collect organic buildup — grease, fats, oils — the same way standing water collects in the supply lines, and a slow or backed-up drain in the first week of school is the kind of complaint that lands on your desk fast. A biological, enzyme-based drain treatment run through these lines as part of the flush breaks that buildup down before it becomes a clog, and it’s worth adding to the routine if it isn’t already part of your summer-end checklist.

2. Return the HVAC to its occupied schedule — and prove it’s actually running.

All summer the air handlers ran on a reduced schedule built for an empty building. Occupied mode is a different setpoint, a different runtime, and a different fresh-air requirement. The system has to be switched back, and — more important — someone has to confirm it actually did, because a schedule that was supposed to flip and didn’t is exactly the kind of thing nobody notices until a wing is stuffy at 8 a.m. on the first day.

Restore the occupied schedules and setpoints. Then walk the building and verify: are the units running, is air actually moving in the classrooms, are the spaces holding temperature, is fresh-air ventilation doing its job. Pre-cool or pre-heat the building ahead of the first occupied day so it starts comfortable rather than catching up. If you changed filters as part of the summer service (see Issue #011), confirm they’re seated and the units are clear. Stuffy classrooms in the first week set a tone with teachers that’s hard to undo.

3. Restore hot water and confirm temperatures are right.

Hot water systems often get turned down or idled over summer, and bringing them back is not just flipping a switch — it’s confirming the water comes back at the right temperature at the fixtures. Too cold in the kitchen and you’ve got a sanitation problem the day food service starts. The wrong temperature at hand-wash sinks is both a comfort and a hygiene issue.

Bring the water heaters and circulation pumps back to their occupied settings ahead of time, then check actual delivered temperatures at the fixtures that matter — the kitchen, locker rooms, hand-wash stations — not just the setting on the equipment. Give the system enough lead time to come up to temperature and stabilize before it’s needed. Confirm the kitchen specifically with your food-service lead, since their requirements are the strictest in the building.

4. Test the safety systems that have to work the moment the building is occupied.

Some systems are allowed to be quiet in an empty building but absolutely have to work the instant it’s occupied: fire alarm and notification, emergency and exit lighting, the access control and door hardware that secures the building, and anything tied to life safety. These don’t announce when they’ve drifted out of service over a long quiet stretch, and the cost of finding out late is in a different category from a stuffy classroom.

Build a systems-check pass into the reopening: confirm the fire alarm system is in service and any summer bypasses are removed, exit and emergency lighting works, exterior and interior doors secure and release correctly, and the intercom or PA functions. Coordinate with whoever holds responsibility for life-safety testing in your district — much of this is on a required inspection schedule, and reopening is the moment to confirm nothing is sitting in a test or bypass state. Document what you checked and the date.

5. Walk the controls and confirm every space comes back, not just the main ones.

Buildings come back unevenly. The main spaces get attention because they’re obvious; the far classroom, the portable, the rarely-used multipurpose room, the closet that has its own unit — those are the ones that get missed and surface as a complaint in week two. Lighting controls, occupancy sensors, thermostats, and zone schedules all have to be confirmed space by space, not assumed from the main mechanical room.

Walk the building with the controls in mind. Check that lighting comes on where it should and that summer overrides are cleared. Confirm each thermostat and zone is on its occupied schedule. Test the spaces on the edges of the building the same way you test the main ones. The point is the same as the readiness walk: find the space that didn’t come back while it’s a five-minute fix, not a first-week emergency.

The bigger picture — a building has two modes, and only one of them is ready for people.

Summer mode and occupied mode are genuinely different states, and the switch between them is a real piece of work, not an afterthought. The water has to be fresh, the air has to be moving, the temperatures have to be right, the safety systems have to be live, and every space — not just the visible ones — has to actually come back. Done deliberately, a few days ahead, it’s a calm checklist. Skipped, it’s a string of first-week problems that all trace back to a building that filled with people before it was switched back on.

The teams whose first week runs smoothly aren’t lucky. They treated reopening as its own job, switched the building back to occupied mode on purpose, and confirmed each system rather than assuming it. The building was ready for people before the people arrived.
